Ask whether testing covered static loading, repeated-use fatigue, tip stability, adjustment locks, and pinch-point risks. Do not treat a supplier’s statement such as “heavy duty” as evidence. For a pelvic floor chair used in a salon, independently inspect a production-representative sample and record dimensions, weld or joint quality, fastener security, and movement after cycling. If an applicable national or regional furniture standard exists, require the partner to identify the standard, laboratory, scope, and limitations rather than presenting an unrelated certificate.

Material verification should connect every major component to a supplier record and a specific chair bill of materials. Request upholstery composition, backing or foam information, flame-resistance statements where required, restricted-substance documentation, adhesive specifications, metal or plastic declarations, and batch traceability. For European sales, ask whether applicable REACH obligations have been assessed; a general REACH statement is not the same as a test report for every component. Check that the certificate or report names the material, manufacturer, laboratory, test method, and valid scope. Also inspect production samples for seam strength, edge finishing, chemical odor, staining, cracking, and cleanability. Claims about antimicrobial or medical-grade surfaces require product-specific evidence and should not be accepted solely because a fabric is described with marketing terminology.

Use a written golden-sample approval process. The approved sample should include drawings, tolerances, upholstery color and texture, component list, adjustment range, packaging arrangement, labels, accessories, and photographs of critical details. Test the prototype in the actual operating posture: enter and exit repeatedly, apply realistic user movement, operate every adjustment, inspect stability on the intended floor, and evaluate cleaning access. Record defects with photographs and assign corrective actions before sign-off. Ask the factory to issue a revision-controlled specification and prohibit unapproved substitutions. Prototype approval is not a replacement for pre-shipment inspection because mass production can introduce variation in foam density, stitching, paint, fastener torque, or actuator alignment. Retain a sealed reference sample for later comparison.

During a factory audit, trace one chair from incoming materials through assembly, inspection, packing, and shipment. Verify that rejected components are physically segregated and that rework is authorized rather than silently returned to production. If the chair includes an actuator, heating element, control box, pump, or charger, request the exact model numbers, ratings, wiring diagrams, component approvals, risk assessment, and test reports covering the configuration being sold. Confirm that the report’s voltage, frequency, plug, controller, and enclosure match the destination market. For ergonomics, evaluate seat height, support surfaces, adjustment range, access for the operator, transfer stability, and foreseeable misuse rather than accepting a label such as ergonomic. Check installation instructions and user warnings in the required language. Compliance responsibility can involve the importer, manufacturer, or both, depending on jurisdiction, so obtain written regulatory advice for the target market when classification is uncertain.

A useful OEM agreement defines the warranty start point, covered defects, exclusions, response time, evidence requirements, replacement or repair process, freight responsibility, and remedy for recurring failures. It should also identify spare parts by drawing or part number, expected availability period, packaging, pricing basis, and technical support channel. Ask how the partner handles a batch defect, field safety concern, discontinued component, or design change. Keep records of serial numbers, installation dates, complaints, photographs, and corrective actions so warranty decisions are evidence-based. Avoid vague promises such as lifetime support unless the contract specifies duration and obligations. For a distributor, serviceability matters: confirm whether common parts can be replaced locally, whether special tools are required, and whether repair instructions are supplied.
